Important Information About Our LEGAL TERMS

Terms of Use for Booking Business and First Class Flights

PRIVYTRIPS TRAVEL PROTECTION – TERMS & CONDITIONS

1. Definitions

1.1. Airline – Any licensed air carrier operating commercial passenger services.

1.2. Baggage – Checked luggage and personal property transported with you on a flight.

1.3. Immediate Relative – Spouse, parent, legal guardian, or child.

1.4. Schedule Change – Any modification initiated by the airline, including flight number, date, time, routing, or cancellation.

1.5. Privy Concierge – Premium service offered to Elite Protection clients, including rebooking support, upgrade assistance, and travel coordination.

1.6. Travel Credit – Non-transferable voucher issued by PrivyTrips, valid for future bookings.

1.7. Voucher – A benefit credit issued to be redeemed against future PrivyTrips services.

2. Price Drop Protection

2.1. Description

Elite Protection includes automatic monitoring of published fares for 24 hours post-booking. If the fare decreases by $50 or more, PrivyTrips will reissue your ticket and issue a travel credit equal to the difference, up to $700.

2.2. Authorization

By purchasing Elite Protection, you authorize PrivyTrips to rebook your itinerary if eligible savings are identified.

2.3. Limitations

Savings are not guaranteed and depend on airline inventory and fare types.

New ticket numbers and confirmation may be issued upon rebooking.

Delay in refunding original fares may occur for debit card transactions (5–14 business days).

Ancillary services (e.g. baggage, seat selection) should be booked after the 24-hour fare monitoring period.

2.4. Refund Waiver

If your fare was refundable within 24 hours of booking, opting into the rebooking process voids that refund option. All compensation is then issued as a Travel Credit.

2.5. Governing Rules

Rebooked tickets are governed by the rules of the issuing airline and the terms of this policy.

3. Airline Schedule Changes & Cancellations

3.1. Acknowledgment

Clients acknowledge that airline schedules may change due to operational issues, weather, or regulatory reasons beyond PrivyTrips’ control.

3.2. Notifications

PrivyTrips will make reasonable efforts to notify clients of schedule changes using the contact details provided during booking.

3.3. Minor Changes

If the airline makes minor changes, we will reconfirm your new itinerary and notify you. If unsuitable, alternative options can be explored under airline fare rules.

3.4. Major Changes

If the change is considered major by the airline (e.g., misconnection), we will email you with options and request confirmation before an airline-imposed deadline. Failure to respond may result in automatic acceptance of changes to avoid ticket cancellation.

3.5. Limitations

PrivyTrips is not liable for inaccurate or outdated contact information.

Once checked in, the airline is responsible for managing further changes.

We advise reconfirming flights 72 and 24 hours prior to departure.

Day-of-travel disruptions should be addressed with airport airline staff.

4. Technical / Mechanical Issues

4.1. Assistance

In the event of mechanical delays or cancellations, PrivyTrips will:

Assist in securing alternative flights, where available

Communicate with the airline for potential compensation or rerouting

4.2. Limitations

Alternate flight options may be limited

Compensation depends on the airline's policies and the cause of delay

PrivyTrips does not cover costs such as meals or lodging unless reimbursed by the airline

Tarmac delays after pushback are under the airline’s jurisdiction

5. Airline Bankruptcy

5.1. Acknowledgment

In rare cases of airline bankruptcy or suspension of operations, your flight may be canceled without prior notice.

5.2. Assistance

PrivyTrips will assist in rebooking on a different carrier (subject to availability and price differences)

We will file refund claims on your behalf if permitted by the airline or bankruptcy court

5.3. Limitations

Not all bankrupt airlines offer refunds.

Clients may be advised to initiate disputes with their payment provider if recovery is not possible.

6. Concierge & VIP Services

6.1. Elite Benefits Include

Access to Privy Concierge (24/7 support for emergencies and rebooking)

Up to 45% savings on select hotel and car bookings

Enrollment assistance in frequent flyer programs

Priority support for online check-in and special requests

6.2. Limitations

Discounts subject to supplier availability

Airline loyalty terms and seat availability governed by respective carriers

7. Hassle-Free Exchange

7.1. Description

Clients with Elite Protection can change their flights without paying PrivyTrips' $250 processing fee.

7.2. Limitations

Airline-imposed fare differences and penalties may still apply

Changes are subject to availability and must be requested at least 48 hours prior to departure

8. Refund Policy: Illness, Hospitalization & Emergencies

8.1. Refund Eligibility (Hospitalization Only)

A full monetary refund is granted only if the traveler is hospitalized and medically unfit to travel at the time of departure.

8.1.1. Criteria


Traveler must provide an official medical certificate confirming incapacity to fly

Ticket must be completely unused

Claim must be submitted within 7 days of the original departure date

8.1.2. Documentation Required

Hospital admission form or signed physician note

Medical confirmation of travel prohibition

Proof of relationship if claiming for an Immediate Relative

8.2. Exclusions

Predictable or pre-existing medical conditions

Elective or planned procedures

Failure to provide proper documentation

No refunds for non-hospital medical cases (travel credit applies instead)

8.3. Submission Process

Email claim with all supporting documentation to [email protected] within 7 days of the departure date. Claims are reviewed individually and subject to approval.

9. Baggage Tracking & Compensation

9.1. Assistance

In the event your baggage is lost or delayed:

Report the issue to the airline immediately upon arrival

Secure a Property Irregularity Report (PIR) with file reference

Email the PIR, boarding pass, and baggage tag to [email protected] within 24 hours

9.2. Monitoring

PrivyTrips will assist in tracking the baggage and updating you on recovery efforts.

9.3. Exclusions

Bags delayed but delivered within 96 hours

Misreporting or fraudulent claims

10. Vouchers & Travel Credit

10.1. Voucher Benefits

$50 voucher issued upon trip completion (min. $500 value required)

Travel Credit issued for eligible cancellations under Elite Protection

10.2. Limitations

Travel Credits valid for 12 months from issue

Vouchers apply to future PrivyTrips bookings only

Cannot be combined with other promotions

Redemption limited to 15% of the new booking total

11. General Provisions

11.1. Governing Law

This agreement is governed by the laws of the State of [Insert Jurisdiction].

11.2. Entire Agreement

This document represents the entire agreement between PrivyTrips and the customer regarding travel protection.

11.3. Severability

If any clause is deemed invalid, the remainder shall remain fully enforceable.

11.4. Modifications

PrivyTrips reserves the right to amend these terms without notice. Updated terms apply at the time of claim.
